Privacy Policy

Hivemind US LLC (“KeepUnits,” “we”) operates KeepUnits Pulse, the property software at rentals.keepunits.com. This policy describes the personal information we collect and how we use it. The property owner or manager who invites you is a separate party. They decide how to use application, tenant, and guest information for their own properties.

Information we collect

We collect information you give us, information created when you use the product, and information from the companies that process payments, email, and screening.

  • Accounts. Name, email, password (stored as a salted hash), role, and sign-in activity for owners, managers, tenants, and service providers.
  • Properties and leases. Property and unit details, lease terms, occupants, charges, messages, documents, and maintenance requests that an owner or manager stores.
  • Rental applications. Legal name, date of birth, email, phone, move-in date, rental history, employment and income, other occupants, pets, vehicles, emergency contact, answers to the owner’s questions, a photo ID, proof of income, and other files you upload.
  • Screening. When an application includes a background check, Checkr collects the identity details it needs, which can include a Social Security number, and returns a consumer report. That report can include criminal history, sex-offender registry, global watchlist, eviction history, credit report and score (including collections), income verification, and an assets or bank report.   • Tours and stays. Name, email, and phone for a property tour. For a short-term stay: guest details, dates, messages, and the card you use to pay or hold a deposit.
  • Payments. Subscription, rent, application-fee, screening-fee, and booking charges are processed by Stripe. We store payment status, amounts, and Stripe identifiers. We do not store your full card number.
  • Service providers. Name, company, email, phone, password, services, and the cities you serve.
  • Technical data. Session cookies that keep you signed in, and error logs when a page or the API fails. Those logs are for operating the service. They are not shown on the public error page.

How we use it

We use this information to create and secure accounts, run the owner portal, deliver applications and screening results to the property’s owner and assigned managers, collect rent and fees, send the emails the product generates (such as invitations, receipts, and reminders), and keep the service reliable. We do not sell personal information.

Who receives it

  • The owner and assigned managers of the property you applied to, rent, tour, or book.
  • Stripe, for card payments, subscriptions, and owner bank payouts.
  • Checkr, when you authorize a tenant screening report.
  • Postmark, which delivers KeepUnits email.
  • A service provider the owner assigns to a maintenance request.

We also disclose information if the law requires it, or to protect users and the service from fraud or abuse.

How long we keep it

We keep account, lease, payment, and application records for as long as the owner’s account is active and as needed for taxes, disputes, and legal obligations. Screening reports stay available to that property’s owner and managers so they can document the housing decision. You can ask us to delete information we control by emailing support@keepunits.com. We may retain what we must keep for a legal, security, or accounting reason. An owner may still have copies of records they downloaded.

Your choices

You can decline to apply, tour, book, or create an account. You can ask for a copy of the personal information KeepUnits holds about you, ask us to correct it, or ask us to delete it, by emailing support@keepunits.com. To dispute a screening report, contact Checkr as described in the Screening Disclosure. The property owner, not KeepUnits, decides whether to rent to you.

Children

KeepUnits is not directed at children under 13, and we do not knowingly create accounts for them. An application may list other occupants, including children, because the owner needs to know who will live in the unit.

Changes

If we change this policy, we will post the new version on this page and change the effective date. Continued use of KeepUnits after that date means you accept the updated policy.
